Case study: Gwendolen

Every loose thread, closed.

Gwendolen is the executive function I built for myself. She holds my commitments, decisions, relationships, risk and health in one system, and nothing I have said I will do stays loose in my head. I can build you one.

Talk about yours

One slice each

I work across several organisations at once. A fractional role does that: five inboxes, several boards and clients, and one week to fit them in.

Every tool I owned saw its own slice. The CRM knew who I had spoken to. The calendar knew where I had to be. The task list knew what I had written down. My watch knew how I had slept. None of them could see all four at once, and that was the only view that mattered.

One system, every domain

Gwendolen holds the lot in one place:

  • Commitments and the work behind them
  • Decisions, including the ones against
  • Risk
  • Business development
  • People, and how each relationship is going
  • Health and training

They live together because the useful signal sits between them. A bad night's recovery should change what today's workload looks like. A pattern in one engagement turns up in another. A relationship going quiet is a pipeline risk and a personal one at the same time. Tools that each own one domain cannot see across them, however good each one is.

That crossing is where she earns her keep.

Every thread closes one of three ways

Committed

It has an owner and a date, and she checks that it got done.

Scheduled for later

It is parked with a date to come back to, and it is out of my head.

Decided against

We record that we are not doing it, and why.

The third is the one I would keep if I could keep only one. An idea turned down without a record comes back every month, from me, from a co-founder, from a board, and gets argued from scratch each time. With the decision on file, the argument happens once.

What she has held

  • 455

commitments held since 31 Mar 2026

  • 388

    of them closed

  • 158

    decisions on record

As at 18 Oct 2026.

The calendar that was wrong for eleven days

I swapped two training days. The change reached her records and never reached my calendar, and the calendar sat wrong for eleven days because nothing compared the two. Now she checks one against the other every night and tells me when they drift. She leaves the fix to me: sometimes the calendar is the side that is right.

Work that was done and never closed

In July we reviewed my open commitments together. About 15% were already finished. I had done the work and never closed the loop, so I was still carrying them around. False load weighs the same as the real thing.

The pattern before the illness

She noticed late nights stacking up alongside evening coaching and a disrupted household. That combination has come before me getting sick, and she flagged it while it was still building.

Where she started

The early versions of Gwendolen were a to-do list in cosplay. But she became a real working partner, and the character grew up to match the work.

What yours would hold

Yours would hold your domains: the boards you sit on, the clients you carry, the people you cannot let go quiet, and whatever keeps you well enough to do the rest.

I build the working system with you, hand over every login, and come back when you ask. The system, the data and the decisions in it are yours.

Tell me what you are carrying. I'll come back to you about what your own system would hold, and where to start.
